Share calendars in Outlook 2003 using Microsoft Exchange

If your company uses Microsoft Exchange as their for corporate email, then you have the ability to share your calendar as well as view others calendars on the same network system.  Users must “allow” or “set” permissions for calendars to be shared with specific indivuduals.

To share your calendar by setting proper permissions you must go to the “Calendar” section in Outlook and look under the navigation pane.  Select, “Share my Calendar” and it will open up the calendar properties window.

 In the calendar properties window select the “Permissions” tab to choose the users that can access the calendar and what level of access they are allowed.

Click on the “Add” button to search your company’s global address book for the user you want to provide access.  Make sure to set the ‘Permission Level” from the dropdown to allow the person selected to review, author, or contribute to your calendar. 

To view a calendar that has been shared, click on “Open” under the “File” menu and choose “Other users Folder”

Click on the “Name” button and search for the person that shared their calendar with you in the company global address book.  You may enter multiple names to add any calendars that have been shared, then click “OK” to accept the chosen names.

Then click on “OK” again to add the shared calendars to your calendar view. 

You may receive an errror if the person has not shared their calendar with you or has not set up the proper permissions.
